Most Freight Systems Were Built to Store Information, Not Move Work

One of the more interesting things about freight operations is how much of the actual work still happens between systems.

The information usually exists somewhere already. Shipment updates, customs documents, milestones, invoices, release notes, customer instructions, and container details are often spread across emails, spreadsheets, portals, PDFs, and internal platforms.

The challenge is that the flow of work around that information is often far less connected than it appears on paper.

In many operations, teams still spend large parts of the day moving between systems simply to keep shipments progressing. A document gets uploaded in one place, updated somewhere else, then manually checked or re-entered further down the process because the next step is disconnected from the previous one.

Global consulting firm McKinsey & Company noted in a report on trade digitisation that a single shipment can still involve up to 50 sheets of paper exchanged across as many as 30 different stakeholders. The firm described many global trade processes as manual, time-consuming, and demanding in resources.

Over time, businesses become incredibly good at adapting to this.

Manual checks become standard process. Spreadsheets evolve into operational safety nets. Teams create workarounds that help keep freight moving despite the gaps between systems.

In many ways, that adaptability proves one of the strengths of the industry.

But it also hides how much operational effort is spent chasing information rather than acting on it.

This is why workflow design is becoming increasingly important in freight technology.

Historically, many systems were built primarily to record activity. They were designed to capture milestones, store documents, or log shipment data. But modern freight operations increasingly depend on something slightly different: how information moves between teams, systems, and operational steps while work is actively taking place.

That difference matters more as shipment volumes grow.

Operational pressure rarely comes from a lack of information. More often, it comes from fragmented handoffs, duplicated handling, disconnected updates, and the amount of manual coordination required to keep everything coordinated.

A 2025 review published in the journal Sustainability identified fragmented information sharing and disconnected operational systems as recurring barriers to supply chain visibility across modern logistics networks.

The businesses that scale most effectively are often not the ones with the most systems. They are usually the ones where data flows most cleanly through the operation.

That shift, from record management to workflow orchestration, is becoming one of the more important conversations happening in freight right now.
